Detected accounts

Detected accounts are user accounts Oneleet finds in your connected integrations that aren’t yet linked to a person on the People page. Review each one by linking it to an existing person, adding it as a new person, or ignoring it. The All detected accounts are reviewed monitor passes once every active account has been handled in one of those three ways.

Detection runs automatically as your integrations sync. If a newly detected account’s email exactly matches an existing person, Oneleet links it for you at detection time.

Only workspace admins can review detected accounts. When there are accounts to review, the People page shows a banner; click Review accounts in it to open the Review Detected Accounts page.

The page sorts accounts into categories: Suspicious, Likely match, Possible match, New hires, Personal, External, and Ignored.

A likely match is an account Oneleet has matched to an existing person on your People page. Accounts in Possible match, Personal, or New hires move up to Likely match when they share an email, name, or email prefix with a likely-match or already-linked account.

The other categories come from the account itself:

  • Suspicious: username-only accounts with special characters or fewer than three characters, and accounts with one-character or generic names like “user”, “admin”, “test”, or “demo”.
  • New hires: accounts on your verified company domain, plus username-only accounts that didn’t match anyone.
  • Personal: accounts on consumer email domains such as gmail.com or outlook.com.
  • External: everything else.

The page groups accounts that share an email into a single row, so you review them together; an account without an email always gets its own row. To handle each account in a group separately, choose Assign individually from the row’s dropdown. Each row shows which integration and connection the account came from. An account that was detected earlier but no longer has access shows a Deactivated badge, with a tooltip naming the integration it lost access to.

On a likely-match row, the Link to button names the suggested person; click it to link every account in the group to them.

To pick someone else, click the chevron next to the button, choose Link to a person…, and search for them. Rows in other categories have the same Link to a person option.

To link every account in the Likely match group to its suggested person at once, click Link to all existing users.

Linking an ignored account also removes its ignored status.

If the account belongs to someone who isn’t on your People page yet, click Add as a person (or Add as a new person… in the row’s dropdown). The Add person modal opens with the account’s email and name prefilled; when the account has a valid email, the Email field is locked.

Fill in the person’s remaining details and click Add person. Oneleet creates and invites the person, then links all accounts in the group to them.

Click Ignore on a row to mark the account as reviewed without linking it. The account moves to the Ignored group, which is hidden by default; click Show ignored accounts below the list, or choose Ignored in the category filter, to see it. Click Unignore to put an account back into review.

On the People page, click a person’s account count in the accounts column to open the list of accounts linked to them, then click Unlink next to an account. You can’t unlink an account whose email matches the person’s Oneleet email.

An active account that’s neither linked to a person nor ignored fails the monitor, which reports that the account “has not been reviewed (not linked to a person or marked as ignored)”. Deactivated accounts still appear on the review page, but they don’t count against the monitor. While the monitor is failing, the check on its linked control, Account inventory maintained, fails too.
